PowerPoint is one of the most popular slideshow creation software in Vietnam. PowerPoint files with numerous slides can become unexpectedly heavy due to excessive information and redundant images. In this article, TechTricks.com will guide you on effective methods to reduce PowerPoint file size.

1. Save PowerPoint Files in the Latest Version
PowerPoint is a product of software developer Microsoft, and over the years, they have released the latest Office versions, including PowerPoint. To store PowerPoint in the smallest file size possible, you need to keep it in the latest PowerPoint version.
To achieve this, firstly, you need to click on the ribbon File in the toolbar.

Next, select Save As from the File options list.

Alternatively, you can use the shortcut key F12 to perform this Save As function.
When saving the new PowerPoint file, choose Save as type as PowerPoint Presentation to export to the latest PowerPoint file available on your computer.
Finally, click on Save to store the file.

As you may notice, the old PowerPoint file with .ppt extension has a size of up to 781KB, while the latest PowerPoint file with .pptx extension is only 355KB in size.

2. Important note when adding images to PowerPoint slides
Inserting images into PowerPoint will make your slides more vividly illustrated, which is an indispensable aspect. However, storing numerous images can also be a factor contributing to the heaviness of your PowerPoint file.
Inserting images is a crucial task, so we need to find ways to insert the smallest image sizes possible.
There are numerous methods to insert images into PowerPoint files, but copying and pasting images directly onto slides will automatically convert them into .PNG files. Among the commonly used image formats, .JPG files typically have smaller file sizes due to their color storage method.
Therefore, when wanting to insert images, avoid pasting directly from the clipboard. Instead, perform the image storage operation and then insert the image via the ribbon Insert, selecting Pictures in the Pictures group.

3. Compressing image files in PowerPoint
As mentioned in part two, inserting images into PowerPoint files is essential, but if we want to reduce file size, we can also compress images in PowerPoint.
To do this, we need to Save As the PowerPoint file under a different name. To Save As another file, you can go to the ribbon File and select Save As, or press F12 on the keyboard.
After opening Save As, click on Tools and then select Compress Pictures.

Once Compress Pictures is displayed, select Web (150 ppi): good for web pages and projectors to reduce the PowerPoint file size to the minimum. Click OK to confirm the settings.
Finally, remember to choose a new name (different from the old file name) and click Save to store the file.

As you can observe, the file saved by SoftwareTips now possesses a smaller file size compared to the previous PowerPoint file. However, due to the lack of numerous images in the file, the reduction in file size is not overly noticeable.
If your file contains a plethora of images, you will experience a more pronounced reduction in file size.

4. Deactivate the AutoRecover feature
Another method to reduce the file size of PowerPoint is to disable the AutoRecover feature. This prevents unnecessary file bulk when advanced auto-saving features are not needed.
While the AutoRecover feature is convenient for saving slides in case of unexpected power outages, it can be disabled to decrease file size if deemed unnecessary.
To disable AutoRecover, access the File ribbon on the toolbar, then navigate to Options within the File menu.

From there, click on Options listed under the File menu to access the AutoRecover settings.

Once the PowerPoint Options menu appears, switch to the Save tab.
Then uncheck the box next to Save AutoRecover information every under Save presentations, and uncheck the box next to Embed fonts in the file under Preserve fidelity when sharing this presentation.

Press OK to confirm the settings.
