Formatting sheets and printing pages in Excel 2016, 2013, 2010, 2007, 2003
1. Set up print labels
Setting up Print Labels, also known as Print Titles, allows you to repeat column and row headings at the beginning of each new page for easier multi-page reading when printing.
To configure Print Labels, navigate to the Page Layout tab in the Excel interface and click on the Print Titles button.
The Page Setup dialog appears; choose the row or column to be repeated. Select the row or column, click the Select Row/Column button, and then press OK.
2. Create Header and Footer
To create Header and Footer, first, click on the Insert tab, and then select the Header & Footer button as shown below.
Now, the Design tab for Header & Footer will appear on the Ribbon area. To switch between Header and Footer, click the Go to Header or Go to Footer button.
To insert text, type your text into the Header or Footer.
To input pre-programmed data such as page number, date, time, file name, or sheet name, click on the relevant icon.
To change the position of data, click on the cell you want.
3. Set Page Margins
- On the Page Layout tab, click on the Margins option.
- Choose one of the available presets provided.
- Alternatively, click on Custom Margins to create your own page margin settings and then press OK to confirm.
4. Change Page Orientation
To switch page orientation from portrait to landscape, go to the Page Layout tab, click on Orientation, and choose Portrait (vertical) or Landscape (horizontal).
5. Set Page Breaks
You can set page breaks in a spreadsheet to easily navigate through the printed pages. To set page breaks, go to the Page Layout tab, click on Breaks, and select Insert Page Break.
6. Print a Range
Sometimes, you may only want to print a specific part of an Excel sheet. Easily achieve this with the Print Range function. Choose the desired print area, click on Print Area in the Page Layout tab, and then click on Set Print Area.
