Companies and organizations frequently work on documents with external suppliers, partners, contractors, and customers. If these partners don't have a Google account, it becomes a significant barrier to collaboration between the two parties.
Google is implementing a new identity verification process using a new pincode. In this process, the document owner enters the recipient's email address. The recipient receives an email from a non-Gmail email service, which is used to open the shared document.
After clicking the access link, visitors (the users) are welcomed by a 'Verify your email' login screen. A Google authentication code is sent to their external email. They enter this code on the login page with granted access levels, including viewing, commenting, suggesting edits, and editing directly on Google Docs or Google Sheets
The document owner has full control over sharing, receiving detailed activities on the document, such as viewing edited sections, and revoking access at any time. Meanwhile, admins also have complete sharing control and can use external auditing.
This feature is currently in beta, requiring Google account admins to register for Pincode Sharing on Google Drive. All versions of Google apps are eligible to register and check if the version qualifies for the beta. Earlier this year, Google also unveiled the Drive Enterprise app designed for customers seeking efficient business services.
