To better serve office tasks, it's crucial to connect and share these printers with all other computers on the LAN. This can be limiting during printing as print commands from other machines pass through the sharing device. To use and install a network printer server, allowing multiple users to utilize printers in the same office, follow the article below
On the printer's control panel, follow these steps:
- Press the Menu button until one of the following options appears (varies for each machine) AUX IP, MIO, MIO 1, MIO 2, EIO 1, EIO 2.
For HP Laser IIISi machines: press the Menu button until PCL Config or PS Config appears.
- Press the Item button, select CFG NETWORK, then press the Value button (or +/- button) to change the value of CFG NETWORK to YES*.
- Press the Select or Resume button (to save the changed value).
- Press the Item button to select CFG TCP/IP, then press the Value button (or +/- button) to change the value of CFG TCP/IP to YES*.
- Press the Select or Resume button.
- Press the Item button to select BOOTP, then press the Value button (or +/- button) to change the value of BOOTP to NO*.
- Press the Select or Resume button.
- Press the Item button to select IP parameters (JetDirect IP address), SM (subnet mask), LG (syslog server IP address - used for logging), GW (gateway IP address) from Byte 1 to Byte 4, press the Value button (or +, - button) to change the value and press the Select or Resume button to save the settings.
Default values will have a * on the screen. For LG or GW parameters, if you don't want to configure, leave the bytes at the value of 0*.
For example, if you want to configure the printer with the address:
IP: 192.168.1.100
Subnet mask: 255.255.255.0
Syslog server: 192.168.1.1
Default gateway: 192.168.1.254
On the printer, configure the corresponding values as follows:
IP Byte 1: 192*, IP Byte 2: 168*, IP Byte 3: 1*, IP Byte 4: 100*
SM Byte1: 255*, SM Byte2: 255*, SM Byte3: 255*, SM Byte4: 0*
LG Byte1: 192*, LG Byte2: 168*, LG Byte3: 1*, LG Byte4: 1*
GW Byte1: 192*, GW Byte2: 168*, GW Byte3: 1*, GW Byte4: 254*
- Press the Go or Online button to save the configuration to JetDirect.
- Print a Self Test page to check the configured IP address.
Note: Do not worry about CFG NETWORK=XXX, CFG TCP/IP=XXX (XXX=YES/NO). After configuring as YES, this parameter will appear as NO.
Install the printer on a computer or server and share the printer on the network
Step 1: Set up the printer for a server
- Start by connecting the power cable between the printer and any office server
- Install a compatible driver for that printer on the server (go to Google and search 'driver+ printer name,' download the driver, and start the installation)
- Open Control Panel -> Printers and Devices or Printers and Faxes (choose Printers or Devices as the naming varies for each Windows operating system)
- Under the selected device, representing the installed printer for the server, Right-click and select Sharing > check the box Share this Printer > click Apply > click OK to share (publicly) the printer usage rights.
Note: When sharing and using the printer, do not turn off the server, or else the printer (multifunctional or photocopier) will not function
Step 2: Share the printer over LAN or wifi network
- To allow multiple computers to use the printer, establish a common internal network between external computers and the server (LAN or wifi network)
- Install the printer driver as done for the server on other computers
- Navigate to Control Panel -> Printers and Devices -> Add Printer -> Add a Network, Wireless, or Bluetooth Printer to discover shared printers on the network
- Ping the IP and printer address using the format '\IP of Computer 1printer name set up on that computer' in Run to establish connectivity
- Use as usual
Currently, on the market, there are various new office devices that can connect to the server without a cable via wifi. For such printers, you need to connect the printer to wifi through the computer's operating system and use the printer directly over the network.
