Compressing Files on Windows OS
Put the file you wish to compress in a location that's easily accessible. Consider using the 'desktop' or a folder within the 'documents' section.
If you need to compress multiple files, consider creating and zipping a new folder. This can save space and simplify emailing files. It also helps keep files organized and prevents loss.
- To create a new folder, right-click on your desktop or in a documents folder. Choose 'New Folder' and name it based on your file type or project. Creating and zipping folders is also beneficial for data storage, email inbox management, and faster email transfers.
Choose the item you want to compress. Typically, you'll use the mouse for this task.
Right-click and hold the mouse button. This action will display a menu of options.
- If you don't have a right-click button, press 'Shift' and 'F10' to access the same menu.
Select the 'Send To' option from the right-click menu.
Hover over the 'Send To' options list. Choose 'Compressed Folder.' Wait for the folder to finish compressing.
Search for a new icon within the folder. It should display the name of the previous folder along with a '.zip' file extension.
Attach this file to an email, save it to a hard drive, or store it within the folder.
- Recipients of a .zip file need to double-click on it to extract its contents. Once done, they can access all files from the original folder.
Zipping Files on Mac OS
Make a new folder on your desktop or in a documents directory.
Label the folder based on the project or file topic.
Add the files you wish to compress to that particular folder.
Use your mouse or trackpad to select the folder.
Right-click on the folder. Scroll down and select 'Compress Folder Name.' If you don't have a right-click mouse, press the 'Control' and trackpad simultaneously. Scroll down on the trackpad and choose the 'Compress' option.
- If you lack a right-click mouse, press 'Control' and the trackpad together. Scroll down using the trackpad and opt for 'Compress.'
Allow the folder to finish compressing. Afterward, either send or store the zipped file. Recipients must double-click on the .zip file to unzip and access its contents.
