Guide to Registering Individual Tax Identification Numbers for Employees
Step 1: Download and Install QTTNCN 3.3.2 Software

Step 2: Create Individual Tax Code Registration Profile
Open the newly installed QTTNCN 3.3.2 software -> navigate to the Tax Registration section -> select Register Tax via Tax Department
Step 3: The interface for registering individual tax identification numbers will appear -> input the required information into the form.
Where:
Tax Identification Number: This is the tax ID of your company
Name: This is the name of your business, company
Tax Department at Provincial Level: You choose the specific tax department managing the province or city.
Managing Tax Authority: You select the Tax Office managing your business, company.
File Number: You leave it as default 1 if it's the first time (if you're doing it for the second time, you need to change this file number).
Date Created and Quantity: This section will automatically populate, so you don't need to input anything.
Information of each employee: You must enter accurate information for all fields such as: full name, ID number, registered address according to household registration, place of residence...
After you've entered the information into the form -> you press Check to verify the validity of the information.
If you input incomplete or invalid information, there will be an error notification as shown in the image below:

Next, select the Export Profile File section to export in XML format.
Choose the location to save the exported XML file (you can rename it if you wish) -> then, click Save.
Step 4: Submit individual tax code registration profile online.
Access the website www.tncnonline.com.vn HERE
Then go to the Tax Registration section -> select Payroll Organization -> enter the following information:
- Tax Identification Number: enter the information as stated in the certificate or tax identification notice).
- Date of Tax Identification Number issuance: you also enter the information as stated in the certificate or tax identification notice).
- Provincial/City Tax Department: enter the provincial/city tax department.
- Managing Tax Authority: enter the tax authority directly managing your business.
- Confirm Information: enter the verification code next to the box.
Then press Login.
Successful login -> you fill in all the information such as: Sender's Name, Address, Phone Number, Email -> then click Choose File.
You locate the folder containing the exported XML file to select -> then click Open to complete file selection.
Next, you click Send File to submit the profile to the tax authority.
Note: After successfully submitting your profile, you can also review the submission by checking whether the tax authority has received it yet, by clicking on the File Lookup section to view information about the sent file.
Step 5: Submitting Hard Copy to the Tax Authority
According to regulations, besides submitting online, you still need to provide a hard copy to the tax authority. You can print a hard copy of the XML file using the following methods:
Method 1: You reopen QTTNCN 3.3.2 -> Select Print Profile -> choose Print Tax Registration List -> then print by clicking Print
After printing, you have the Director sign and stamp it -> then take it to the tax authority for direct submission.
Method 2: You go to QTTNCN 3.3.2 -> click on Export Profile File -> select the line below Excel file (Saved at Enterprise).
After exporting, you open that Excel file to edit additional information as follows:
- Microsoft Office 2007 - 2013: Review section -> you select Unprotect sheet
- Microsoft Office 2003: Tool section -> you select Protect sheet -> then select Unprotect sheet
Next, you align for printing:
- A4 Size: you print as usual
- A3 Size: With Microsoft Office 2007 - 2013: you go to File -> select Print to choose A3 size; With Microsoft Office 2003: you go to File -> Page setup -> select Paper size to choose the appropriate size.
Then you proceed to print -> then have the Director sign and stamp it -> and take it to the tax authority for direct submission.
Step 6: Check Tax Identification Number (MST)
After submitting the profile to the tax authority for about 2 to 7 days -> you need to log in again to check if the tax identification number (MST) has been issued.
- You log in to the website tncnonline.com.vn -> select Tax Registration -> choose Payroll Organization -> then go to File Lookup section -> here, you can check the status of the tax identification number (MST) issuance. If the status is Issued -> then you can select Download Result to save the result file to your computer.
- If there is still no result -> then you should contact the Tax Authority immediately for specific verification and answers.
