To prevent opening a file, follow these steps:
Step 1: Assume you have an important Powerpoint file -> open it -> select File -> then Info -> In the Protect Presentation section, choose the second line Encrypt with Password as shown below:
Step 2: A password entry interface appears -> enter your desired password. Choose a password that is difficult but memorable for you, avoid setting easy passwords like: 1235, abc... -> after entering, click OK.
Enter your password again to confirm as prompted by the software -> then click OK to complete setting the password.
Step 3: The result is that every time you open this file afterward, it will prompt you to enter the password as shown in the image below.
If you want to remove the set password: It's very simple, just go back to the File tab -> select Info -> In the Protect Presentation section, choose the second line Encrypt with Password -> then delete the password.
2. Set a password for Powerpoint file allowing viewing but not editing
To set the Read Only mode, where editing is not possible, follow these steps:
Step 1: Open your Powerpoint file -> Select File -> then choose Save as (or use the shortcut F12, on some laptops it might be Fn + F12).
Step 2: Choose the location to save the new file -> Next, select Tools -> choose General Options.
Step 3: Enter the password in the Password to Open box, similar to the method mentioned in step 1. For allowing others to view but not edit, enter the password in the Password to Modify box -> after entering, click OK.
Enter the password again -> click OK to complete.
Step 4: Once confirmed -> click Save to save the newly configured file.
And the result is that the Powerpoint file has been password protected -> when opening the file, users will see a prompt to enter the password -> if only viewing without editing -> then click Read Only.
To remove the password simply follow the same steps above -> in the new password entry window -> highlight and delete -> then click OK to finish.
