1. How to Print in Excel 2010, 2007
Since the interfaces of Excel in both versions are quite similar, especially the printing feature, the following guide will be demonstrated on Excel 2010, but users of 2007 can follow along.
Step 1: To access the printing section in Excel, we need to click on File in the menu bar.
Step 2: The File menu interface appears, to print in Excel 2010, simply click on Print. Here, you have various options to choose from:
- Printer: Select your printer.
- Printer properties: Choose advanced customization for the printer.
- Print Active Sheets: Select sheets to print individually or for a specific purpose.
Additionally, in Printer properties, we can configure many other settings. However, these are printer-specific, and each type of printer will have different configurations. Therefore, to set up in this section, you also need to have some understanding of the printer.
Alternatively, we have another choice, the Page Setup located right below. Here, you can adjust some functions already available externally.

Step 1: On the Menu bar, select File => Print to open the excel printing window.
Step 2: Click on Properties to configure the text before printing
Step 3: In the Layout tab, you have the following settings:
- Portrait: Rotate paper vertically when printing
- Landscape: Rotate paper horizontally when printing
- Page size: Paper size when printing
- Custom Page Size: Manually adjust paper size as needed
Step 4: Click Ok to confirm the settings
Step 5: Finally, click OK to initiate the printing process
3. Printing in Excel within Office 2007
The steps for printing in Excel 2003 and 2007 are identical, differing only in step 1, where you open the Print file interface. You can refer to the steps performed in Excel 2003.
- Open the print file interface, select the Microsoft icon => Print => Print to open the printing interface

Step 1: On the Microsoft Excel application window, select File to reveal spreadsheet options

Scaling: Adjust print size with Adjust to as a percentage and Fit to for width and height
Paper Size: Choose paper size from the dropdown list
Print Quality: Quality, sharpness of the print (higher dpi, higher quality)

Step 5: In the Margins tab, customize page alignment in Excel with Top, Bottom, Right, Left positions (Top, Bottom, Left, Right) and Header, Footer for top and bottom margins

Step 6: You can choose content to display at the header and footer in the Header/Footer tab
In the dropdown menu for Header, you can select content to display at the top
In the dropdown menu for Footer, you can select content to display at the bottom
To customize content as you desire at the bottom or top, choose Custom Header or Custom Footer…

Left section: Enter data to appear in the left margin of the header or footer
Center section: Enter data to appear in the center of the header or footer
Right section: Enter data to appear in the right margin of the header or footer

Format font : Change the font, text, and style of the highlighted section.
Page number : Insert page numbers on each page.
Number of pages : Use the page numbering feature to create a sequence of pages from 1 to 15.
Date : Insert the current date.
Time : Insert the current time.
File path : Insert the file path (location of the file).
File name: Add the name to the workbook file.
Tab name : Add the name to the worksheet tab.
Insert picture : Insert an image.
Format picture : Format the inserted image.

Step 7: In the Sheet tab, you can set up the worksheet like the print area, print page order, etc.
Print area : Enter the worksheet you want to print
Rows to repeat at top : Click the icon on the right side of the box and drag the row you want to repeat at the top of the page. With this method, that row will appear on every printed page
Columns to repeat at left : Click the icon on the right side of the box and drag the column you want to repeat on the left side of the page. With this method, when printing, the left column will appear on every printed page
Elements that will print : Check the boxes in the Print section if desired. For example, Gridlines (include grid lines), Black and White (print in black and white), Draft Quality (print quality in draft), Row and Column Headings (print row and column headings)
Page order : In the Page order section, choose Down, then over or Over, then down. You will see this effect when the data in the worksheet is not enough for one printed page
Step 8: After completing the setup for printing in Excel, return to the Print section to proceed with the following steps
Printer : Choose the printer for printing
Print Active Sheets : Print the current worksheet with default settings or print the entire workbook
Pages : Select the pages to print, leave blank to print all, fill in the page numbers if you want to print specific pages
Collated : Specify the number of copies to be printed in Excel
