Recover Deleted Emails in Office 365
Method 1: Recover Deleted Emails in the Deleted Items Folder
To recover deleted emails in Office 365, the first step is to check if these deleted emails are in the Deleted Items folder. Log in to Office 365, then access the Mail app. Navigate to the Deleted Items folder and look to see if the deleted emails are here.
If they are, right-click on the email and use the Move function, select the destination folder (such as the Inbox) to recover the email.
If the email you are looking for is not there, you can try the option to Recover Deleted Items. Right-click on the Deleted Items folder, select Recover Deleted Items
On the screen, a pop-up window will appear, displaying a list of permanently deleted emails. If you find the email you are looking for, right-click on it and choose Recover. Additionally, you can select multiple emails and recover them simultaneously if desired.
The recovered emails will be displayed in the Inbox folder.
Method 2: Recover Deleted Emails as an Office 365 Admin
Office 365 Admins have options to recover deleted or lost emails through Exchange Online or the In-Place eDiscovery & Hold option.
Note: This method only works if the emails have not been completely deleted from the mailbox and are still in the Recoverable Items folder.
If you're an Admin, you can also recover emails from user accounts that have been deleted, as long as it's within 30 days of the account being disabled.
Log in to Office 365 as an Admin. Access the Exchange Admin Portal =>Compliance Management =>In-Place eDiscovery & Hold.
At this point, the Exchange Admin Center window will appear on the screen. Click the plus sign icon (+) to allow you to add search parameters for emails. You can search for emails by name, keywords, date and time, recipient, and more.
After completion, click Finish to initiate the search process for the deleted emails you are looking for.
Once the process is complete, Office 365 will display the search results on the screen. Check each item to see if it contains the email you are looking for by clicking Preview Search Results.
If you find the emails, click the Export button and choose the destination folder. The selected items will be exported as a PST file.
After the export process is complete, open the exported file to view the content and recover the deleted emails.
Method 3: Utilizing Third-Party Solutions
Essentially, the integrated solutions in Office 365 have certain limitations, such as a time limit ranging from 14 to 30 days. Additionally, once emails are deleted from the Recoverable Items folder, they cannot be recovered.
This explains why some end users often resort to third-party email recovery solutions. However, if you choose this option, exercise caution and download programs and software from reputable websites to avoid installing counterfeit software, viruses, etc., which could harm your computer.
