During the document editing process, numerous errors arise. One of the most common mistakes users encounter is adding extra white spaces between words in the text. According to the standard, there should be only one space between two words to distinguish them. However, detecting these extra spaces visually can be challenging, leading many users to fall into this error. The following article shares the method to Remove Excess Spaces and White Spaces in Word.
Typically, the excess white spaces in your document can be 2 spaces or more.
In cases where there are 2 extra spaces in the document, follow these steps: Select the entire text you want to remove excess spaces from -> press the Ctrl + H key combination -> a dialog box will appear in the Replace tab, enter the items according to the following options:
- Heading Search for: Type 2 spaces
- Heading Substitute with: Type a single space.
Once inputted, click on Replace All to remove excess spaces between words, or alternatively, click on Replace to eliminate redundant space individually:
However, in certain scenarios, the number of excess spaces may not be consistent, ranging from 2 to 3 spaces between words. Moreover, determining the exact number of superfluous spaces between words is not always feasible:
To address this issue, you can opt for an additional feature in Special. Select the text with extra spaces to be removed -> press Ctrl + H or navigate to the Home tab -> Editing -> Replace:
The dialog appears, click on More to display the full version:
With the full version displayed, navigate to the Special section at the bottom of the dialog box select White Space:
After selecting White Space, click on Replace All to remove all excess whitespace, leaving only one space between words regardless of the number of spaces between words:
After selecting Yes, a notification will confirm the removal of excess whitespace -> click OK:
The result is the removal of excess whitespace regardless of the uneven spacing between words. This is the quickest way to standardize your document:
