How to Compress a PDF File

The PDF format is a simple and standard method for sharing electronic documents. It is supported on all platforms like Windows, Mac OS, and Linux, allowing you to convert graphics, charts, forms, and text into PDF documents suitable for printing. Often, you may need to compress these files for email attachments or uploading to websites. There are various options for compressing PDF files, and here are some methods you can explore.

Find a free online PDF compression tool. You can search for terms like 'free online PDF file compressor.' Make sure the service is completely free and is recommended by a reputable office equipment provider or an online community (You’ll often find ads indicating positive reviews from trusted sources about the site).

Select the file you wish to compress from your computer, or drag and drop it into the tool to begin the upload process. The website may display advertisements or prompt you to enter a verification code.

Wait for the compression process to complete. Once the file compression is finished, you will be notified that the download is ready. Some services will email the file to you, while others will allow you to download it directly from the website.

Open the PDF file using Adobe Acrobat. You can open more than one file in the PDF catalog.

Click File → Save As → Reduced Size PDF. Choose a compatible version. If you ensure all users are on Adobe Acrobat X or newer, the file will be further compressed.

To open a PDF file using the Preview app, double-click the file in Finder.

• By default, PDF files open in Preview unless you have installed Adobe Reader or another PDF viewer. In such cases, right-click the file, choose 'Open With,' and select Preview.

Go to File → Export. A dialog box will appear.

In the Quartz Filter section, select 'Reduce File Size.'

Click 'Save.' If you don't change the file name, a prompt will ask if you want to overwrite the original file. The file will then be saved, replacing the current one.

Chọn Bảng Thiết lập Phông chữ (Fonts Settings Panel) để thay đổi phông chữ. Chọn phông từ tài liệu gốc sẽ giúp đảm bảo rằng nếu bạn mở tài liệu trên máy tính khác sẽ không bị lỗi phông và in được, ngay cả khi máy tính không cài đặt phông chữ đó.

• Nếu bạn không yêu cầu các phông chữ chính xác trong PDF, bạn có thể không chọn phông chữ để giảm dung lượng tập tin. Phông chữ sẽ được tự động thay đổi trên hệ thống và không bao gồm phông đã được sử dụng ở tài liệu gốc. Select the Transparency Setting Panel to adjust the transparency level of artwork within the document. The available options are 'Low Resolution,' 'Medium Resolution,' and 'High Resolution,' each with a set of corresponding preset configurations that affect transparency, gradients, and mesh, etc. Modifying the transparency resolution will help reduce the file size.

Select the Discard Objects Panel to remove unnecessary elements from the document. Upon opening this panel, you will see a list of Discard Object Settings along with a checklist. The settings include 'Discard all form submissions,' 'Discard document tags,' 'Discard bookmarks,' and more. Select the objects you want to exclude from the original document.

Choose the Discard User Panel to delete personal information from the document. Similar to the Discard Objects Panel, this list contains user-related information along with a checklist. You can select one of the options such as 'Discard all comments,' 'Forms and multimedia,' or 'Discard private data from other applications.'

• Personal information may be hidden. To locate it, use the Examine Document command (Document → Examine Document).

Open the Clean Up Settings Panel to remove unnecessary data from the document. Ensure you select the 'Compress document structure' option under Object Compression settings.

• By default, only elements that do not affect the PDF are selected. Changing these default settings can significantly impact the document’s functionality, so it is advised not to modify them unless you are certain of the results.

Click 'OK' once you have completed adjusting the settings. A window will appear asking you to 'Save Optimized As.' Choose a file name, save location, and PDF format.

• To reduce file size, it is recommended to use only one font style in the document, as fonts are embedded in the file's data.
• Transparency adjustments will not take effect until you save the file.
