Although Excel isn’t specifically designed for calendar creation, you can use this software to design and manage your schedules. Instead of manually formatting a custom calendar, utilizing pre-made templates and customizing them to your preference is much faster. Additionally, you can import event lists from spreadsheets into your Outlook calendar.
Steps
Using an Excel Template

Start a new Excel document. Click on the "File" tab or the Office button and select "New," which will display a variety of templates for you to choose from.
- On certain versions of Excel, such as Excel 2011 for Mac, you’ll need to select "New from Template" in the File menu instead of "New."
- When creating a calendar from a template, you’ll have a blank calendar to fill with events. If you want to transfer an Excel data list into an Outlook calendar, refer to the next section.

Find a calendar template. Depending on your Office version, you may see a "Calendars" section or simply type "calendar" into the search bar. Some Excel versions display pre-selected calendar templates on the main page. If these meet your criteria, you can use them directly; otherwise, explore and choose from available online templates.
- You can refine your search with specific keywords based on your needs. For example, if you need an academic schedule, search for "academic calendar."

Adjust the dates on the template. Once the template loads, a blank calendar will appear. If the dates are incorrect, modify them using the menu that appears when you select a date.
- The process may vary slightly depending on the template. Typically, you can select the displayed month or year and click the ▼ button next to it. Available options will appear, and the calendar will adjust automatically.
- You can also set the start day of the week by clicking and selecting a new day.

Review the tips. Many templates include a section with tips on how to change dates or adjust other settings. You’ll need to delete this section if you don’t want it to appear in the printed calendar.

Customize any visual details. You can modify any element by selecting it and making changes in the Home tab. Like any Excel object, you can alter fonts, colors, sizes, and more.

Enter events. Once the calendar is configured, start adding events and information. Select the cell where you want to add an event and input the data. If multiple entries are needed for the same day, get creative with spacing.
Import Excel List into Outlook Calendar

Create a new spreadsheet in Excel. You can import data from Excel into your Outlook Calendar, making it easier to manage schedules and work plans.

Add appropriate headers to the spreadsheet. Formatting your spreadsheet with the right headers will simplify importing your list into Outlook. Enter the following headers in the first row:
- Subject
- Start Date
- Start Time
- End Date
- End Time
- Description
- Location

Enter each calendar entry in a new row. The "Subject" field represents the event name displayed on the calendar. While you don’t need to fill every header, ensure you include at least "Start Date" and "Subject."
- Dates must be entered in standard formats like MM/DD/YY or DD/MM/YY for Outlook to recognize them.
- Create multi-day events by using the "Start Date" and "End Date" fields.

Open the "Save As" menu. After adding events to your list, save a copy of the spreadsheet in a format that Outlook can read.

Select "CSV (Comma delimited)" from the file type menu. This is a widely compatible format that can be imported into various programs, including Outlook.

Save the file. Name your list and save it in CSV format. Click "Yes" when Excel prompts you to confirm.

Open your Outlook Calendar. Outlook is part of the Office suite and is usually pre-installed if you have Excel. Once Outlook is open, click the "Calendar" button at the bottom left to view your calendar.

Click the "File" tab and select "Open & Export." You’ll see multiple options for handling data within Outlook.

Choose "Import/Export." A new window will appear, dedicated to importing and exporting data in Outlook.

Select "Import from another program or file" and then click "Comma Separated Values." You’ll be prompted to choose the file you want to load.

Click "Browse" and locate the CSV file you created in Excel. Typically, the file is in the Documents folder unless you changed the default save location in Excel.

Ensure that "Calendar" is selected as the destination folder. Since you’re in Outlook’s calendar view, "Calendar" should already be selected.

Click "Finish" to import the file. Once the program processes the list, the events will be added to your Outlook Calendar. You can find the events in their respective time slots as per the list. If descriptions were included, they will appear when the event is selected.
