If you want to quickly design business cards without relying on complex design software, Microsoft Word provides the necessary tools to help you create and print your own business cards. You can use pre-designed templates to simplify the process while maintaining a personal touch, or you can start from scratch to design a completely custom card. If you’re creating your own card, the table feature allows you to adjust the card size accurately.
StepsUsing a Pre-Designed Template

Click on the 'File' tab and select 'New'. You will create a new document using a business card template.

Search for business card templates. Use the search field in the new document window to look for 'business cards'. A variety of free templates will appear for you to choose from. Business cards come in both horizontal and vertical formats.

Select a template you want to use. You can modify any elements in the template, including colors, images, fonts, and layout. Choose the template that best aligns with the message you want to convey on your business card. Click the 'Create' or 'Download' button to open the template in Word.

Fill in the fields on the first business card. If you're using Office 2010 or later (and the template is designed for 2010 or newer versions), your text will automatically appear on all cards on the page. This way, you only need to enter information once. If the template isn't designed to auto-update, you'll need to manually input data for each card.

Adjust the formatting of any elements. You can select and modify the formatting of any text on the business card. You can change the font, color, size, and more, just like you would with regular text.

Replace the logo (if necessary). If the business card template includes a placeholder logo, you can click on it to replace it with your own. Ensure your logo is resized appropriately and balanced within the design.

Print the business cards from your storage or send the file to a printer. If you plan to print at home, use high-quality paper. Avoid plain white or light-colored paper and consider finishes. Most business cards are uncoated, but some prefer a glossy finish. Many print shops can open your saved template and print them for you.

Use a sharp cutting tool to finish the business cards. After printing, you'll need to cut the cards into individual pieces. Each sheet typically contains ten cards. Avoid using scissors or other cutting methods that make it hard to maintain straight lines. Instead, use a paper trimmer or precision cutter. Many print shops have these tools available for customers or can cut the cards for you.
Tip: The standard business card size in Vietnam is usually 9 x 5.5 cm or 8.8 x 5.3 cm. In contrast, the standard US business card size is typically 8.9 x 5 cm (5 x 8.9 cm for vertical orientation).
Create Business Cards Using Tables

Create a new blank document. If you prefer to design your business cards from scratch, using the table tool will make the process easier.

Click on the 'Page Layout' tab and then click the 'Margins' button. Select 'Narrow' to reduce the margins slightly compared to the default settings. This will help your business cards fit better on the page.

Click on the 'Insert' tab and then click the 'Table' button. A grid listing columns and rows will appear below the Table button.

Create a 2 x 5 table. Use the grid cells to insert a table with two columns and five rows.

Right-click on the table's selection cross and choose 'Table Properties'. The Table Properties window will open. The selection cross appears in the top-left corner of the table when you hover over it.

Set the alignment to Center for the table. This will make designing your business cards much easier.

Click on the 'Row' tab and check the 'Specify height' box. Enter 5.5 and change the dropdown menu to 'Exactly'.

Click on the 'Column' tab and check the 'Specify width' box. Enter 9 and adjust the dropdown menu to your preferred unit of measurement, such as 'cm'.

Review the table. Your page should now display a table divided into ten cells, each matching the size of a standard business card. If the table doesn't fit the page, you may need to increase the bottom margin by a few centimeters.

Right-click on the selection cross again and choose AutoFit. Select 'Fixed Column Width'. This will prevent the table from changing shape as you add information to the first cell.

Add information to the first cell. You can use all the standard Word formatting tools while entering details into the cell. Insert text boxes, images, change fonts, add colors, or apply any other formatting you prefer.

Review the business card. Before copying the information to other cells, take the time to check for errors or typos. If you review later, you'll need to edit each cell individually instead of making changes to the first cell before copying.

Select the entire first cell once you're satisfied. You can do this quickly by moving the cursor to the bottom-left corner of the cell until it turns into a diagonal arrow. Click, and the cell's content will be selected. the content to the clipboard.

Place the cursor in the next cell and paste the copied information. You can click 'Paste' in the Home tab or press Ctrl+V. The copied information will appear in the correct position within the cell. Repeat this process for each cell on the page.

Right-click on the selection cross again and choose 'Table Properties'. Click the 'Borders and Shading' button and select 'None' for the borders. This ensures the cell borders won't appear when the business cards are cut.

Find high-quality paper for your business cards. You need premium paper to print your new business cards. Ensure your printer supports the type of paper you have. Alternatively, you can send the completed file to a print shop for more professional results.
