You can make your PowerPoint presentation more lively by adding videos. If you have a video file stored on your computer, you can embed it into your slide deck; alternatively, you can embed a video from YouTube. For older versions of PowerPoint, you may opt to create a link to the video file rather than embedding it directly into your presentation.
Steps
Embed Video from a File

Ensure that you have the latest Office update installed. You will achieve the best results when embedding videos using the most recent version of Office. Office updates are installed via Windows Update. You can find additional guides online on how to update Windows.
- This process is applicable for PowerPoint 2016, 2013, and 2010.
Open the slide where you want to add the video. You can embed a video in any slide within your presentation.

Click on the "Insert" tab. You will see a variety of Insert options available.

Click the "Video" button in the "Media" section. A dropdown menu will appear.

Select "Video on My PC". This action will open the file browser.
- If using a Mac, choose "Movie from File" instead.

Locate the video you want to add to the slide. Use the file explorer to find the video you wish to embed. Keep in mind the following:
- Different versions of PowerPoint support different video formats. PowerPoint 2016 supports most formats, including MP4 and MKV, while PowerPoint 2010 supports fewer formats (only MPG, WMV, ASF, and AVI).
- Avoid using AVI format as it often requires special codecs for playback. You can use a free converter program to convert AVI files to a more compatible format like MP4. Instructions are available online.

Wait for the video to be added to the presentation. The process speed depends on the size of the video. The progress will be displayed in the lower corner of the screen.

Click on the "Playback" tab. This allows you to adjust the playback settings for the embedded video. If you don't see this tab, make sure the video is selected.

Use the "Start" menu to choose how the video will play. By default, you need to click on the video to start it. If you select "Automatically", the video will start as soon as you switch to this slide.
- You can replay or rewind the video automatically by clicking the corresponding option box.

Resize the video by dragging its corners. You can adjust the size of the video by clicking and dragging its corners to reposition it on the slide.

Save the presentation with the embedded video. Now that the video is part of the presentation, it is included in the PowerPoint file. You no longer need to worry about sending the video separately as it is embedded within the file. This means the file size will increase because it contains the video.
- You can save the presentation with the embedded video just like any other file. Simply click "Save" in the File tab to save your presentation.
Embed a YouTube Video

Update to the latest version of Office. Using the most recent version of Office ensures that the process of embedding videos into your presentations will run smoothly. Office updates are provided via Windows Update. For more details, you can check online for further information.
- You can embed YouTube videos into PowerPoint 2016, 2013, and 2010. YouTube is the only online video platform supported for embedding.
- You cannot embed YouTube videos into PowerPoint on Mac.

Open the YouTube video you want to embed in your presentation. Use a web browser to navigate to the page with the video.

Click the "Share" button on the YouTube page. This action opens the sharing options for the video.

Click on the "Embed" tab. This tab will appear once you click on the "Share" button.

Embed the video. Wait for a moment, and the video will appear on the slide as a black box. This is completely normal.

Click on the "Playback" tab. This will open the video playback options. If you don't see the "Playback" tab, double-check that you have selected the video.

Click on the "Start" menu to choose how the video will play. If no option is selected from this menu, the video won't play automatically during the presentation.
- Here, you can adjust some options, but the "Start" option is the most crucial for the video to function properly.
You need an internet connection during the presentation. YouTube videos will only play if your computer is connected to the internet. Embedding the video in your presentation doesn't mean you can watch it offline.
Movie File Link (PowerPoint 2007)

Place the video file in the same folder as the PowerPoint file. If you are using PowerPoint 2007 or earlier, you cannot embed the video, you will need to "link" to it. This means the video is not actually inside the PowerPoint file. The video file exists separately and PowerPoint will fetch the video from the specified location. The link will not be visible as text, but PowerPoint needs to know the exact location of the video on your computer to play it.
- The video is only "embedded" (including the PowerPoint file) in PowerPoint 2010 and later versions.

Open the slide where you want to add the video. You can insert a video on any slide in your PowerPoint presentation.

Click on "Insert". You will see various options for adding content to your presentation.

Click on the "Movie" button and select "Movie from File". A file browsing window will appear.

Locate the video file you want to link to. PowerPoint 2007 supports certain video formats such as AVI, MPG, and WMV. If you have an AVI file, you may want to convert it to MPG or WMV format to avoid codec issues during playback.

Select how to play the video. After choosing a video, you will be prompted to choose how to play it. If you select "Automatically," the video will play as soon as the slide reaches that point. If you choose "When Clicked," you will need to click on the video to start it.

Use the "Package for CD" function if you need to send the presentation. Since the video is played from a designated location, the recipient will not be able to view it if you only send the presentation. The "Package for CD" feature allows you to send the presentation along with any related multimedia content in one package.
- Click on the Office button and select "Publish" (Export).
- Select "Package for CD" and choose the presentation file.
- Don’t forget to select "Linked files" in the "Options" menu.
