Few things are more stressful than realizing you’ve accidentally deleted an important email. While it may seem like the email is gone forever, there are still several methods you can try to retrieve it. There are more solutions than you might think: from checking the Trash folder and other directories to using file recovery software. Whether you’re using a web app or a mail browser, see step 1 below to learn how to recover that crucial email.
Steps
Using a Web App

Check the Trash or Deleted Items folder. When you delete an email, it is usually sent to the Trash folder for a few days before being permanently deleted. Different email services keep emails in the Trash for varying periods, sometimes up to 30 days.
- If you’re using Outlook.com, click on the Deleted option in the left-hand menu, then click on the "recover deleted messages" link at the bottom of the page. Outlook will attempt to recover as many deleted emails as possible.

Search in your inbox. If your inbox is full, the email you’re looking for might just be buried somewhere. You can use the Search feature of the service to locate the email you need, or sort your inbox by date and browse through the emails received on the specific day.
- You can also search by the email’s subject, sender’s address, or keywords within the email content.

Check all folders or labels you’ve created. Many services allow you to organize emails by moving them into folders or applying custom labels. It’s not uncommon to forget where certain emails have been sorted, so review your folders to ensure you didn’t accidentally misplace the email.

Check archived emails in Gmail. Gmail archives emails instead of deleting them (unless you specifically choose "Delete"). This means the email is removed from your inbox but remains in your account for future recovery. You can access archived emails by searching for them or clicking the "All Mail" option in the left-hand menu.

Contact your email service provider. If you’ve deleted an email from your web app account and can’t find it in the Trash, it’s usually unrecoverable. You can try reaching out to your email provider, but the chances of recovery are slim.
Using a Mail Client

Check the Trash and other locations. After deletion, emails may remain in the Trash or Deleted folder for a while before disappearing. Check these locations to see if you can find the email.
- Many people organize emails into custom folders. If you accidentally moved the email to a folder, it might be harder to locate. Use the search feature of your mail client to find it.

Check the web service connected to your mail client. If you’re using a mail client to access web-based email services like Gmail or Yahoo, your email might still be available online. Log in to your account and check the Inbox, Trash, and other folders to locate the missing email.

Recover deleted emails in Outlook. This is only possible if you’re using a Microsoft Exchange server for email (common in corporate systems). Click on the Folder tab, then select "Recover Deleted Items." Outlook will attempt to restore deleted emails from the Exchange server.
- The Exchange administrator determines how long emails are retained before permanent deletion.

Contact the server administrator. The server administrator may have backups of all emails passing through the server. Reach out to see if they can access these backups to retrieve your email. The success rate depends on how long your company retains emails on the server.

Use a recovery program. If the email has been completely deleted from your mail client, your last resort is to use data recovery software. When files are deleted from a computer, they remain until overwritten by new data. If you haven’t accessed the hard drive or saved anything since the email was deleted, there’s still a chance to recover it.
- Avoid using the hard drive immediately after realizing the email was deleted.
- Use another computer to install a portable file recovery program on a USB drive. This prevents installing software directly on the affected hard drive.
- Popular options include PhotoRec, Recuva, Glary Undelete, and Puran File Recovery.
- These programs can recover any file type, including emails.
- However, there’s no guarantee your deleted email can be recovered. The file might already be overwritten even if you act quickly.
