Feeling overwhelmed? Don’t worry. We’ll show you how to host a relaxed backyard event where everyone has a blast and no one gets bitten by mosquitoes.
1. Inform Your Guests Ahead of Time
Kate Aedon/ShutterstockWhen sending out invites for your summer BBQ, be clear about the meal timing. Avoid reheating the grill for late arrivals by saying something like: "The grill master will be serving from 6 to 7. Don’t miss out!"
Another key detail: Let your guests know what to wear. Shorts? Tank tops? Sundresses? Set the tone with something like: "You bring the flip-flops, we’ll flip the burgers" or "Don’t forget your swimsuits!"
2. Estimate the Amount of Food You’ll Need
Getty ImagesKeep your menu simple by focusing on make-ahead favorites and dishes that can be grilled, so you can enjoy the outdoors and avoid spending too much time in the kitchen.
Take the guesswork out of how many buns to purchase and how much potato salad to prepare with our easy-to-use BBQ party calculator. The basic guideline: Expect each guest to have 1 ½ servings of any burger, hot dog, or sandwich, along with 1 ½ cups total of your side dishes.
3. Allow Guests to Build Their Own Meal
Marcus NilssonGo for interactive food stations like taco or burger bars, a salad bar with various dressings and toppings, or a fun ice cream sundae bar for dessert. This way, your guests can customize their meal, and you’ll reduce the hassle of accommodating dietary preferences.
(Insider tip: If your guests have dietary restrictions, consider creating labels with ingredient lists for potential allergens, or personally guide them through the bar so they can avoid anything they can’t eat.)
4. Create an Amazing Dessert
Greg DuPreeFor a refreshing dessert at your summer outdoor gathering, nothing beats something cold. You can stock up your freezer with store-bought ice pops and ice cream sandwiches, but why not make your own? Whether you choose a quick ice cream cake that’s ready in minutes or a simple icebox cake, it’s almost just as easy.
5. Prepare a Large Batch Cocktail
Getty ImagesPlan for each guest to consume about 1 ½ alcoholic drinks per hour. If you're expecting more than 25 guests, prepare 2 ½ gallons of a pitcher-style cocktail to keep the drinks flowing with minimal effort. Our go-to option: a two-ingredient Tom Collins.
6. Offer a Simple Upgrade for Mocktails and Nonalcoholic Beverages
Stefan Thurmann/Picture Press/Getty ImagesInfused drinks are incredibly simple to prepare—even if you’re not in the mood to squeeze lemons for homemade lemonade or iced tea. Just add fresh herbs, citrus slices, berries, or watermelon chunks to bottles of iced tea, lemonade, or even plain water to elevate the flavor for everyone.
7. Go Overboard with the Ice
Urvashi9/Getty ImagesStock up on (or make) far more ice than you think you’ll need. You'll want enough to keep drinks cold in coolers, for adding to cocktails and other beverages, and even to help keep perishables like dairy-based dips cool and safe. Experts generally suggest between one and two pounds per person, and for a summer , we'd lean toward the higher end of that range.
8. Ensure You Have Enough Seating
Lisa Romerein/Getty ImagesGot 25 guests but only five patio chairs? Take a look at your indoor furniture. A quick fix is to use dining chairs, along with any drum stools or poufs you have around. If you’re keeping it casual, let people gather on decorative quilts or picnic blankets on the lawn.
Renting is another surprisingly affordable option. Folding chairs can start as low as $2 each. (You might also be able to rent coolers, speakers, tableware, and even a larger grill.) Many rental services will even deliver and pick up, so all you need to focus on is the guests and the fun vibes.
Still having trouble with seating? Ask your guests if anyone can bring along a folding chair or two—just make sure they mark their chairs so you can return them to the right person after the party.
9. String Up Lights or Lanterns
Michal Venera/Getty ImagesDon’t leave your guests in the dark. All you need is some soft ambient lighting, says Jimmy Duhig, owner of Creative Lighting Design in San Francisco: "When you're outside as it gets darker, your eyes will naturally adjust."
Simply hang strands of outdoor string lights on your deck, along the fence, or even from tree branches, and add hurricane lanterns or tealights for extra ambiance. Duhig recommends globe string lights and round bulbs that provide a soft, warm glow. "These are the lights you always see strung up at outdoor dinner parties on TV," he says.
If you need to run extension cords through the yard, Duhig suggests cutting old wire hangers with a wire cutter and bending them into small U-shaped pegs (like miniature croquet wickets, just an inch or two wide). Then arc them over the cords and hammer them flush into the ground.
10. Turn Decor into Fun Activities
modd/ShutterstockRather than overdoing it with decor, consider investing in a festive item that can also serve as a fun activity for guests. From flamingos to hula girls, they come in various shapes and sizes to suit the vibe of your party.
Fill the piñata with inexpensive prizes in a single color to make the event look more polished. Costume jewelry, bandanas, and sunglasses are excellent choices as they can be worn for fun photo ops.
Other great prize ideas include lottery tickets and, especially for pool parties, mini water pistols.
11. Eliminate Standing Water
Matthew_Miller/Getty ImagesBugs are the ultimate party poopers during summer events. The best way to keep mosquitoes at bay? Get rid of any standing water around your yard. According to Laura Harrington, an associate professor of entomology at Cornell University, "Mosquitoes breed in standing water." She advises emptying out kiddie pools, rain gutters, and any stagnant water in flowerpots a week before your event.
Place insect-repellent incense sticks inside glass jars and scatter them on tables across your yard, lighting them just before your guests arrive. Alternatively, you can opt for a rechargeable mosquito-repellent device to keep the bugs away.
12. Set Up Some Fans
target.comFans can be a highly effective tool for keeping insects at bay. "Mosquitoes struggle to fly, so even a fan on a low setting can create enough air movement to drive them away," explains Harrington. This works particularly well in a confined area like a deck, where you can place two or three box fans around your guests. Additionally, positioning a small fan near the salads can help prevent flies from contaminating your food.
13. Provide Extra Bug Wipes
AmazonStill feeling uncertain? Have some bug spray or insect repellent wipes ready for guests who may want an extra layer of protection. "Opt for products with picaridin instead of DEET," advises Harrington. "DEET can harm synthetic fabrics, ruining clothing."
14. Perfect the Party Playlist
clu/Getty ImagesWe reached out to Michael Antonia, the founder of Flashdance, a production company in Los Angeles, for his playlist tips. He suggests focusing on timeless classics: The Rolling Stones, The Beatles, Stevie Wonder, Michael Jackson—songs that are easily recognizable. Keep the energy high and sprinkle in a few modern tracks. "I enjoy Bon Iver, Beach House, White Stripes, and Elliott Smith," says Antonia.
For playlist duration, aim for about five hours. "Most parties won’t run longer than that, and if someone realizes the playlist is on its sixth hour, they probably need another drink," says the expert.
15. Keep the Speaker Volume in Check
hudsongracesf.comYour playlist may be on point, but no one will want to linger near your speakers if the volume is too high. The ideal setup involves four or more speakers positioned throughout the area, all set to a moderate volume level.
"When using a boom box or iPod dock, position it above ear level so it's not blasting directly at your guests' heads," advises Antonia. "Also, direct the sound toward the side of the house—it’ll help spread the sound better and let you turn it up a little more."
Another option is to go wireless with Bluetooth speakers, perfect for outdoor gatherings. For a more retro vibe, check out this amplifier from Hudson Grace that allows you to place your phone inside and instantly boost your music.
16. Add Some Fun Outdoor Toys
FamVeld/ShutterstockGive the kids something fun to do so the adults can relax with their sangría: bubbles, a sprinkler, a Slip 'n Slide, and beach balls. You can also buy a few affordable disposable cameras and let the kids capture the event as official photographers.
17. Plan Some Fun for the Adults
svetikd / Getty ImagesSure, your adult friends might take a few turns down the Slip 'n Slide (who can blame them?). But you could also plan some competitive lawn games, set up a karaoke session, or use an outdoor projector to create a movie setup for entertainment.
18. Help Keep Guests Cool in the Heat
9dreamstudio/Getty ImagesWondering how to beat the scorching heat? Ice-cold compresses are a clever trick. Grab a pack of affordable washcloths from a discount store, roll each one up, secure with a rubber band, and toss them in a cooler filled with ice water for guests to grab. (The best cooling spots are the neck and wrists, where arteries lie near the surface of the skin.)
Alternatively, hand fans or classic paddle fans are available in bulk and make a charming addition to a large basket.
19. Ensure You Stay in the Shade
ablokhin/GettySunburn is no laughing matter, so provide guests with shaded spots to retreat to—whether it’s a temporary tent, a patio umbrella, or even a sheet draped over poles or other structures.
Also, make sure to have a few tubes of sunscreen on hand so guests can reapply as the day unfolds.
20. Ignite the Fire Pit
amazonA fire pit is a must-have for any outdoor gathering. Choose a model that's simple to use (smokeless options like the Tiki and Solo Stove are great) and prepare the firewood in advance, so you can light it quickly. Don’t forget the marshmallows and s’mores for extra fun!
21. Keep Your Party Table Decor Simple and Natural
